You have an important role to fill and you are thinking about getting outside help. There are two main options: a staffing agency or a headhunter (recruitment firm). They do not work the same way and they do not fit the same needs.
The staffing agency
A staffing agency relies mostly on a pool of candidates who applied or registered. It works well for:
- temporary or contract roles;
- volume needs (several similar roles);
- profiles where active job seekers are plentiful.
Its limit: it mainly reaches people who are already looking.
The headhunter
A headhunter starts from your need and goes to find candidates where they are, including those who are employed and happy. They map the market, identify relevant profiles and approach them directly. This approach is especially useful for:
- specialized or hard-to-fill roles;
- management and leadership positions;
- industries where good candidates rarely job hunt, such as insurance, accounting or IT.
How fees work
Models vary. Some firms ask for a retainer at the start; others, like Zone B2B, charge no upfront fees and are paid only when you hire the candidate they introduced. Always read the agreement: what is included, when payment is due and what happens if the hire leaves early.
How to decide
Ask yourself three questions:
- Are the right candidates for this role actively looking for a job?
- How much does each week with the role vacant cost you?
- Do you have the time and expertise to approach employed candidates yourself?
If the answers are “no”, “a lot” and “no”, headhunting is probably the better option.
